What is a ai voice agent?
How it works
AI voice agent in four steps
No implementation project. Most teams are dialling the same day they sign up.
- 1
Describe the job
Write what the agent should do in plain language: who it is, what it needs to find out, what it must never say, and when to hand over to a person. - 2
Point it at a number
Assign any owned number. Inbound calls to that number now reach the agent; outbound campaigns can dial from it. - 3
Give it tools
Connect the actions it can take: check a calendar, look up an order, create a CRM record, send a text, transfer to a human queue. - 4
Watch and tune
Every call is transcribed and scored. Listen back, adjust the prompt, and the change applies to the next call.

Usage billing that matches reality
The latency budget that decides whether it sounds human
An AI voice agent feels natural or robotic almost entirely on timing. Human conversational turn-taking leaves roughly 200 milliseconds between speakers; past about 800 the other party starts talking again, and past a second they assume the line has dropped.
| Stage | Typical cost | Where it goes wrong |
|---|---|---|
| Speech recognition | 150–300 ms | Waiting for a final transcript instead of acting on a partial one |
| Model response | 200–600 ms | A large model chosen for eloquence rather than for speed |
| Speech synthesis | 100–300 ms | Generating the whole sentence before playing any of it |
| Network and telephony | 50–150 ms | Media routed through the wrong region |
The fixes are architectural rather than cosmetic: stream partial transcripts, start synthesising the first clause before the sentence is complete, and keep the media path short. An agent that sounds unnatural is usually not a model problem.
The calls an AI agent should not take
Handing the wrong call to an agent costs more than the call. Anything where the caller is distressed, anything where a mistake is expensive to reverse, and anything requiring judgement about an exception belongs with a person — and the agent's job in those cases is to recognise it quickly and hand over with context rather than to persist.
The other rule worth holding: if a caller asks directly whether they are speaking to a machine, the agent says yes. It is the honest answer, it is increasingly the required one, and the calls where it matters are exactly the calls you do not want to be defending later.
Fit
Who a ai voice agent is right for
If none of these describe you, a different mode probably fits better; the comparison pages lay out the trade-offs honestly.
- Businesses missing calls after hours or during peaks
- Teams qualifying inbound leads before a human gets involved
- Recruiting screens and appointment reminders at volume
- Anyone who wants coverage without hiring a night shift
