Call analytics and reporting: know what the phone is doing

Reviewed by Sujan ThapaliyaLast updated

What is a call analytics?

Call analytics turns raw call records into the numbers a manager can act on: volume by hour, connect and answer rates, talk time, dispositions, service level, abandonment and the per-number reputation behind all of it. Reporting on activity, as distinct from attributing calls to campaigns.
Why call analytics works better on numbers you own: on a shared pool your calls are a small fraction of the traffic from the same block, so the caller-ID reputation is mostly other businesses' calling and signing caps at B attestation. On owned numbers the reputation is your own, callbacks reach your team, and calls sign at A attestation with CNAM registered.
Call analytics runs on numbers you own outright, which is what the diagram's right-hand column describes.

How it works

Call analytics in four steps

No implementation project. Most teams are dialling the same day they sign up.

  1. 1

Decide the four numbers you will act on

A dashboard with thirty tiles gets ignored. Pick the handful that change a decision — usually connect rate, talk time, disposition mix and service level — and put everything else behind them.
  2. 2

    Get dispositions right at source

Reporting quality is set by what reps log, not by the dashboard. Eight to twelve outcome codes, chosen so the right one is obvious under time pressure.
  3. 3

Report per interval, not per day

Half-hour intervals for anything inbound. A daily average hides the hour that broke, which is the only part you could have staffed differently.
  4. 4

    Push it where decisions happen

Scheduled exports and CRM write-back, so the numbers appear in the weekly review rather than in a tool somebody has to remember to open.

Capabilities

What you get

Outbound performance

Dials, connect rate, contact rate, talk time and disposition mix per rep, per campaign and per number — with the number-level view that reveals deliverability problems early.

Inbound queue metrics

Service level, average speed of answer, abandonment and longest wait, per queue and per interval rather than averaged into meaninglessness.

Per-number health

Answer rate by number and by day, which is the earliest warning available that a number is being labelled or blocked.

Recording and transcript search

Find the calls behind a number rather than trusting the summary — search across transcripts and jump to the moment.

Scheduled exports

CSV and scheduled email for the weekly review, plus CRM write-back so call outcomes live beside the deal.

Live view

Who is on a call, who is waiting, and how long — for the supervisor decisions that cannot wait for a report.

The four numbers worth putting on the wall

Every one of these is available from call records you already generate.
MetricWhat it tells youThe mistake to avoid
Connect rateWhether calls reach humans at allReading it per campaign only — watch it per number too
Contact rateWhether they reach the right humanSubstituting connect rate because it looks better
Service level per intervalWhether inbound callers waitedAveraging it across the day and hiding the bad hour
Disposition mixWhat is actually happening on callsTen codes nobody picks correctly under pressure

Why answer rate is the metric to watch daily

Most reporting is reviewed weekly, which is the right cadence for performance and the wrong one for deliverability. When a number starts being labelled or blocked, answer rate falls first — usually a week or more before anyone notices fewer conversations, and long before it shows up in pipeline.

Watched per number and per day it is the cheapest early warning available. Averaged across a campaign it tells you nothing, which is why a deliverability problem so often gets diagnosed as a list problem. The mechanics are in number reputation management.

Fit

Who a call analytics is right for

If none of these describe you, a different mode probably fits better; the comparison pages lay out the trade-offs honestly.

  • Sales managers who currently ask reps how the week went
  • Support leads whose abandonment rate has no explanation
  • Operations teams reconciling phone activity against CRM records
  • Anyone whose answer rate dropped and who cannot say when it started

Frequently asked questions

What is the difference between call analytics and call tracking?
Call tracking attributes a call to the campaign that produced it, using the number dialled. Call analytics reports on what happened during and after calls. Tracking answers where calls come from; analytics answers whether they are going well.
What should a sales call report actually contain?
Dials, connects, contacts, talk time, disposition mix and next actions — per rep and per campaign, over a consistent period. Anything that cannot change a decision next week belongs in an appendix rather than on the report.
Why do my dashboard numbers disagree with the CRM?
Almost always a definition mismatch rather than a data problem: connect rate counted against dials in one system and against answered calls in the other, or timezone boundaries splitting a day differently. Agree the denominators first.
Is reporting included or priced separately?
Included. Reporting on your own call records is not a premium tier here — the platform is priced on usage, so there is no seat licence to attach a reporting upgrade to.
