What is Cold transfer?

Definition

A cold transfer sends a caller to another extension or queue without the transferring agent speaking to the receiver first. It is fast for the agent and expensive everywhere else: the caller repeats their story, and the receiving agent starts with nothing.
The three STIR/SHAKEN attestation levels, which underpin how cold transfer behaves in practice: A asserts both that the carrier knows the customer and that the customer may use the calling number, B asserts the customer only, and C asserts neither. A shared number pool can reach B at best, which is why number ownership keeps recurring in these definitions.

How cold transfer actually works

Cold transfers are also where calls get lost. If the destination is busy or unstaffed, the caller can land in voicemail or be dropped entirely, with no record that anyone was mid-conversation with them.

A high cold-transfer rate is usually a routing problem rather than an agent one. Callers are reaching the wrong place first, and the fix is in the menu or the queue design rather than in telling agents to transfer less.

Where cold transfer is unavoidable, passing screen context — the caller record, the case, the disposition so far — recovers most of what the introduction would have provided.

Calls dropping on transfer at one specific extension is not an agent problem: the destination is busy, unstaffed or misconfigured, and nobody confirmed it could take the call.

Is a cold transfer ever the right choice?
When the caller simply reached the wrong department and there is nothing to explain, or when the receiving system is automated. Anything with a case history should be transferred warm.
Why do cold transfers lose calls?
Because nobody confirmed the destination could take it. If the receiving extension is busy, unstaffed or misconfigured, the caller drops into voicemail or silence with no handover record.
How do I reduce transfers overall?
Look at where callers land first. A high transfer rate almost always means the menu or the routing is sending people to the wrong place, not that agents are transferring too readily.
