How to set up voicemail on a VoIP phone

On a VoIP line, voicemail lives in the phone platform rather than in the handset. Enable the mailbox on the extension or number in your provider's settings, set the PIN, record the greeting through the platform, turn on voicemail-to-email, then place a test call and leave yourself a message.

The mental model people bring from mobile phones is the thing that gets in the way. On a mobile, voicemail feels like a feature of the handset. On a VoIP line it is a service attached to a number, and the handset is only one of the ways you reach it — which is why the setup is done in the platform and why a perfectly configured desk phone can still have a silent mailbox.

How do you set up voicemail on a VoIP phone?

    Find the extension or number the mailbox belongs to

    In your provider's settings, open the user, extension or phone number the calls arrive on. If several handsets share one number, the mailbox belongs to the number, not to any one handset.

    Enable the mailbox and set the PIN

    Turn voicemail on for that extension and set a PIN that is not 1234, 0000 or the extension number. Mailboxes with default PINs are the entry point for toll fraud, because an attacker who reaches the mailbox can sometimes dial out through it.

    Record the greeting through the platform

    Use the platform's record function or upload an audio file. Do not record it into the handset's local menu — that greeting lives on the device and disappears when the phone is replaced or re-provisioned.

    Turn on voicemail-to-email

    Send the recording, and the transcript if your platform produces one, to an address someone actually reads. On a shared line, send it to a group address rather than to one person's inbox.

    Set the ring time before voicemail answers

    Between 18 and 25 seconds — four to six rings. Shorter and callers get cut off mid-decision; longer and they hang up before the mailbox picks up.

    Test it, twice

    Call from an outside line and let it ring through to the mailbox. Then call again and hang up during the greeting. You are checking two different things: that the mailbox answers, and that the message-waiting notification and the email both arrive.

What should a business voicemail greeting say?

A greeting is not an information page. Its only job is to tell the caller they reached the right place and what will happen next. Everything else lengthens the time before they can start speaking, and every extra second increases the number of people who hang up without leaving anything.

  • Name the business, not the person, on any line more than one person answers.
  • Say when you will call back, in a form you can actually keep. "Within one working day" beats "as soon as possible".
  • Give one alternative for anything urgent — a second number or an email, not both.
  • Stop. No opening hours, no address, no menu. Those belong in an auto attendant.

If you are reading out menu options, you want an auto attendant

A greeting that lists departments is an auto attendant that nobody built. Routing the caller before the mailbox — by keypress, by hours, or by an AI receptionist that just asks — takes the pressure off the greeting entirely.

Secure the mailbox before you forget about it

  • Change the default PIN on every mailbox, including the ones nobody uses.
  • Disable outbound dialling from within the mailbox unless a team genuinely needs it — it is a classic toll-fraud path.
  • Turn off mailboxes on extensions that no longer belong to anyone, rather than leaving them collecting messages nobody hears.
  • Review who receives voicemail-to-email when someone leaves. An old personal address on a shared line is a quiet data leak.

Where is voicemail actually configured on a VoIP phone?
In the phone platform, against the extension or the phone number — not on the handset. The handset is a screen and a speaker; the mailbox, the greeting and the PIN live on the server. This is the single most common reason a setup does not take: the greeting was recorded into the desk phone rather than into the platform.
Why is my message-waiting light not coming on?
The handset is not subscribed to the message-waiting notification for that mailbox. It usually means the extension registered against a different account than the one the mailbox belongs to, or that notifications are disabled for the extension. Re-registering the handset after fixing the account mapping clears it.
Can I get voicemail as an email?
Yes, and you should turn it on. Voicemail-to-email delivers the recording as an attachment and, on most platforms, a transcript in the body, which means messages get read on days nobody dials into a mailbox. It also gives you a searchable record, which a mailbox does not.
How long should a business greeting be?
Under 15 seconds. Name the business, say when you will call back, and give one alternative route for anything urgent. Everything else — opening hours, addresses, menu options — belongs in an auto attendant, not in a greeting the caller has to sit through.
Why do callers reach voicemail immediately instead of ringing?
Either the handset is not registered with the platform, so there is nothing to ring, or a forwarding rule is sending calls to voicemail before the phone is tried. Check registration first: an unregistered extension fails to voicemail silently and looks exactly like a routing problem.
